This Privacy Statement helps you understand what personal data Syntegro NV ("Syntegro", "we", "us") collects and why we collect it, and how we handle, protect, store, export and delete your personal data.

Personal data is any information relating to an identified or identifiable natural person, such as an email address, street address or phone number.

Processing activities

Syntegro processes your personal data for the processing activities described below.

Marketing

Syntegro uses email and other channels to distribute marketing communications. The personal data processed for this purpose is your name and email address.

Our legal basis for this processing is our legitimate interest in providing interested individuals and organisations with relevant marketing communications, cf. GDPR article 6(1)(f). As we operate in a business-to-business context, your behaviour in this context says little about your personal life and no sensitive data is processed.

Your personal data will be deleted when you opt out of receiving marketing communications from Syntegro. You can do this by:

• following the opt-out instructions in the relevant marketing communication;
• changing your preferences in the relevant account settings, if you have an account with Syntegro;
• contacting us by email at dpo@syntegro.be.

Please note that when you opt out of marketing communications, you may still receive other communications from Syntegro, such as order confirmations and notifications necessary to manage your account or the services provided.

Use of cookies

When you visit our website, we place cookies on your device that are strictly necessary for the website to function. These cookies enable basic features such as page navigation, and the website cannot work properly without them. Our legal basis for this processing is our legitimate interest in providing a functional website, cf. GDPR article 6(1)(f).

We may also place other cookies on your device, but only with your prior consent. These include functional, analytical and marketing cookies, each serving a different purpose:

• Functional cookies allow the website to remember information that changes how it behaves or looks, such as your preferred language.
• Analytical cookies allow us to analyse traffic so we can measure and improve the performance of our website.
• Marketing cookies are used to build a profile of your interests and to identify business visitors, so we can show relevant content and reach interested organisations.

We ask for your prior consent for each of these categories, so you can choose which cookies you accept. Our legal basis for this processing is your consent, cf. GDPR article 6(1)(a).

We use analytics and marketing tools provided by third parties, including Google Analytics (Google) and Leadinfo. Leadinfo identifies the organisation behind a business visit on the basis of the IP address, enriched with publicly available company information, for B2B lead generation. When you visit our website — unless you have rejected analytics and marketing cookies — some information, such as device information and IP address, is sent to these providers. Google may use this information for analytics and personalised advertising; read more about Google's processing here: business.safety.google/privacy.

Recruitment

Syntegro processes personal data during recruitment to manage recruitment processes, handle job applications, evaluate submitted documentation, conduct interviews and contact references. The personal data processed includes contact details such as name, address, telephone number and email, as well as your CV, application and other submitted documents.

Our legal basis for this processing is our legitimate interest in finding the right candidate, cf. GDPR article 6(1)(f). For candidates we move forward with, we also process personal data to take steps at your request before entering into a contract, cf. GDPR article 6(1)(b).

The personal data will be deleted when the recruitment process concludes, typically no later than six months after the application deadline, unless an alternative arrangement is agreed with you.

Security

Syntegro processes personal data to detect, mitigate and prevent security threats and abuse, and to perform necessary maintenance and debugging. The personal data involved includes your name, email address, and user and web-traffic data such as login ID, username, IP address and device information.

Our legal basis for this processing is our legitimate interest in maintaining a secure environment for our customers and operations, cf. GDPR article 6(1)(f).

Delivering products and services to customers

Syntegro processes personal data to manage customer orders, agreements and payments for the products and services we provide. The data processed includes basic personal details such as name, address, telephone number and email, along with invoice-related information.

Our legal basis for this processing is our legitimate interest in facilitating the delivery of products and services to the customer's contact person, cf. GDPR article 6(1)(f). We store this personal data only for as long as necessary, and in most cases never longer than three years after your last registered activity.

Registration for webinars and events

When you register for webinars, courses or events, we collect personal data, which we also use for follow-up such as issuing certificates. The personal data processed includes contact information such as name and email, and the details of your registration.

Our legal basis for this processing is our legitimate interest in providing webinars and events to interested individuals, cf. GDPR article 6(1)(f).

Service improvement

Syntegro continuously works to improve the quality, functionality and user experience of our products, services and websites. The personal data we process includes your name, email address, and user and web-traffic information such as login ID, username and IP address, as well as statistics on how you use our software and engage with content on our website.

Our legal basis for this processing is our legitimate interest in meeting our customers' expectations, cf. GDPR article 6(1)(f). After three years, the personal data is deleted or anonymised for statistical use.

Handling requests and providing support

When you contact us through a contact form, our chatbot or a similar channel on our website, we process the personal data you include in your request — at minimum your contact details — to facilitate communication and support.

Our legal basis for this processing is our legitimate interest in responding to questions and concerns raised by visitors, cf. GDPR article 6(1)(f). Requests and related correspondence are stored only as long as necessary, and no longer than three years after the last correspondence relating to the request.

How your personal data may be shared

Within the Visma Group

Syntegro is part of the Visma Group, which consists of several subsidiaries. In order to maintain oversight and insight, we may share your personal data across companies in the Visma Group. Such sharing only takes place where there is a valid legal basis under applicable data protection law, and is limited to what is necessary for the specified purpose.

Outside the Visma Group

Syntegro may also share your personal data with external third parties in the following contexts:

Processors

Syntegro uses processors to process personal data — typically vendors of cloud-based services or other IT services. When using processors, Syntegro enters into a data processing agreement to safeguard your privacy rights. Where processors are located outside the EU/EEA, we ensure a legal basis for such international transfers on your behalf, including by using the EU Standard Contractual Clauses. You are welcome to request more detailed information about our processors by contacting us as described under "Contact us".

User communities

If you make a post, comment or similar on user communities, forums or other sites, that information can be read and used by anyone with access to them. Syntegro is not responsible for information you submit on such forums or sites.

Business partners

Syntegro may share your personal data with partners where this is legitimate from a business perspective and in accordance with applicable privacy law.

Public authorities

The police and other authorities may request access to information from us. In all such cases we follow internal policies and procedures, share only what is strictly required by law, and only on the basis of valid court orders or similar legal documents.

Your rights

You can invoke the following rights in relation to our processing of your personal data:

• Access. You have the right to request a copy of the personal data we process about you.
• Rectification. You have the right to request rectification of inaccurate personal data concerning you.
• Erasure. You can request deletion of personal data relating to you.
• Restriction. You may ask us to restrict the processing of your personal data.
• Portability. You may ask us to provide you or others with your personal data in a structured, commonly used and machine-readable format.
• Object. You have the right to object to our processing of your personal data based on legitimate interests, or for direct marketing purposes.

Please note that certain exceptions or limitations to these rights may apply depending on your specific situation. In such cases we will explain the applicable exception or limitation and help you exercise your rights to the fullest extent possible under applicable law.

To exercise any of these rights, please send an email to dpo@syntegro.be. You also have the right to lodge a complaint with the supervisory authority. In Belgium this is the Data Protection Authority (dataprotectionauthority.be).

Changes

We encourage you to review this Privacy Statement regularly. If we make significant changes that materially alter our privacy practices, we will notify you. This statement is reviewed at least once a year.
